Hayley Common Board Meeting

Called to order: 5:08pm
Present: Brian (Pres), Wayne (VP), Lynda (Secretary), Marc (Treasurer), Gord (Northtowne)
Motion: approve minutes from previous mtg – 1st: Marc, 2nd: Wayne
President’s Report & Maintenance:
2 windows w/ damage
Carpets & windows/glass were cleaned
some parking lot rails replaced
2022 Budget Planning - Brian made edits to 2021 Budget for board to review (G&R=garbage and recycle combined), Hydro annual increase 3.5%, insurance moderate increase
Treasurer’s Report:
Prior month financials – ok’d
Motion: approve – 1st Lynda, 2nd Brian
Parking Report:
Gord sent out parking spot buy/rent/sell email to all owners & residents
domestic dispute flagged with Wayne, redirected to Gord @ Northtowne
Some parking rental arrangements confirmed
Social Media:
website updated with latest monthly financials
FB posts were effective for carpet & glass notices, seeing a recent increase in emails coming to HC FB page due to no/slow response from NT / LJ responded or redirected to NT
Board is looking to change webpage photo with on actual property photo from on site
Old Business:
new occupants need to be verified - whether they are new owner’s or new renters/tenants - for each new renter, owners must provide rental levy fee to Northtowne
Canada Post - parcel bins reviewed & additional info requested to consider location options on site if possible/approved
requested audit update - to be complete for end of August 2021 approx
New Business:
requested feedback for those interested in a zoom/virtual AGM - 7 positive responses
with current restrictions, look at same AGM format as LY 2020
damaged parking lot rail & electrical paid - by owner who moved out and moving truck damaged by building F
