Board Meeting #17 - Oct 12, 2021

Hayley Common Board Meeting

October 12, 2021

Called to order: 7:05 pm

Present: Brian (Pres), Wayne (VP), Lynda (Secretary), Marc (Treasurer)

Motion: approve minutes from previous mtg – 1st: Marc, 2nd: Wayne

President’s Report & Maintenance:

  • 2 windows repaired (Thompson Installation / official repair service for Jelwyn windows)

  • Audit - still pending - s/b received by now

  • Northtowne PM - Gord off for family personal leave

    • proposed self management with limited support from NT for financials, owner transfers, legal docs, etc and everything else would by managed by Board volunteer members

    • would reduce PM monthly fees

    • Motion to approve self management: Marc/Wayne, all in favour

  • Terry T from NT will host AGM- 180 capacity, vaxx proof, photo ID

  • property insurance - completed for another year

  • paint/brushes for parking lot boards - need painted/supplies were moved to storage room in Bldg F

Treasurer’s Report:

  • Prior month financials – ok’d

    • Motion: approve – 1st Wayne, 2nd Lynda

  • AR activity - 1 unit owing

Parking Report:

  • new owners had an incident with vehicle parked in ower’s spot - addressed and should be resolved

  • parking spot swap coordinated

  • some parking rental arrangements confirmed

  • parking note to be emailed in next communication to all owners

Social Media:

  • website updated with latest monthly financials & minutes

  • FB post re: Gord, support changes from NT and parking reminder


Old Business:

  • new occupants need to be verified - whether they are new owner’s or new renters/tenants - for each new renter, owners must provide rental levy fee to Northtowne

  • Audit should be received immediately

New Business:

  • seeking a volunteer to clear a dog walking path along the perimeter fence
