Hayley Common Board Meeting
July 5, 2022
Called to order: 7:08 pm
Present: Brian, Wayne, Lori , Lynda
Motion: approve minutes from previous mtgs – 1st:Lori, 2nd: Wayne
President’s, Treasurer’s & Maintenance Report:
Reserve fund study (Alex) – came for an onsite full inspection last week and expects 4 weeks to have complete report
Updated budget for HC pending & some invoices outstanding
VDM contract – signed by all board members for another 12 yr term
Management agreement – to be updated with new verbiage re: new arrangements
Unit X (8 months behind on condo fees) – legal notification provided/lien placed
2 units/2 owners – due to pay rental levy for new tenants
Matrix needs updated – Candice says a new program is being installed to automatically update matrix with new owners and Board will be given access (NT must be updating & providing updates regularly for the Board)
Meter readings – should be an indicator to update matrix too
Acrylic repairs scheduled for mid/late July & they will repair the soffit/facia on Bldg B
Fire hydrant inspections – deficient hydrants due to RM pump which blew across the highway, running 2 smaller pumps during interim – will re-test after RM pump is repaired
Solie (Roger) in St Anne’s provided quote for $2500 for steel extensions and elbows
Motion to approve: Lori (1st) / Wayne (2nd), all in favour
Committee Reports:
Parking
Complaint of owner illegally parked
Visitors parking overnight, must be registered or they’ll be towed – lot is patrolled nightly

Reach out to local plumbers to check about flood mitigation efforts for hot water tanks

*After mtg: LJ & LF returned unit keys from service vendor to Owner X, confirmed that owner terminated service repairs with onside, not an HC decision. Suggested owner take photos of any concerns, identify paint colours, etc. Unit did not smell poorly, was visibly mid-repair with evident work in progress, noted a small, horizontal line/indent on dining wall approx. 2.5 feet up from the floor, possible damaged counter (by service vendor or sub contractor) and may also have been slight damage on 1 door frame from the service vendor/sub contractor). Owner to address concerns directly with owner’s insurance company.
