Board Meeting #3 Minutes - Oct 24, 2019

Hayley Common Board Meeting

October 24, 2019

Called to order: 3:37pm

Present: Brian (Pres), Wayne (VP), Doug (Director), Marc (Treasurer), Lynda (Secretary) & Gord (Northtowne)

MAL: KW and SR joined mtg @ 4:30

Motion: approve minutes from Oct3 meeting & Special Mtg Oct11 – 1st: M, 2nd: W

President’s Report:

  • Social media update pending – web site mock-up & FB page are in creation (mtg planned Oct26 with SM MAL team, BF & LJ)

  • BF away (Nov2-Dec3)

  • Audit report – has typos & some questions, Brian reviewing with Auditors

    • Copy should be sent to K/Northtowne & she’ll review, then share with Board

  • Noise complaint – Unit X – Northtown notified owner

  • Electrical & Plumbing diagrams - needed from building inspectors & municipality – cannot be found in on-site files

  • Unit sales/move-out or move-in/meter readings – notify the board of all

Treasurer’s Report:

  • Unit X leak – not a window leak, kitchen leak & costs associated are showing under Wpg Bldg & Decorating for repairs

  • Steinbach Fire Protection – once per year

    • Brian spoke to Freedom Fire (local biz) about having them take over our acct support & service inspections

  • Everything on acct checked out, insurance shows twice – payment drawn 1st 2 months payment at once

  • Hydro bill – M will follow up with K/Northtowne

  • Committee Reports: Landscaping – no committee, funds should be all moved to general revenue

Maintenance Report:

  • Unit X, waiting to get a lift in to check the soffit/attic area for water leak source during heavy rains

  • Need drone pics for roof next week

  • Unit X – patio door leak/above door, water coming in & insulation removed – noticed 2 streams of water from the patio area above – water under the upper patio deck/membrane and expect that is the breach – need unit X patio cleared to investigate

  • Building F – new intercom is working & needs new #s updated/changed for 1 unit

  • Documents and instruction manual saved on google drive and jump stick (LJ has jump drive)

    • Changes being made by LJ for Unit X requested via email to G

  • Motion to delay 2nd intercom panel install on Bldg F

    • 1st M / 2nd L

  • Bldg F exterior lights & green space lights stay on despite adjustments to settings – photo cells need replaced/ ordered 6 replacement sensors

  • Garage X – lighting issue – not working, will have G/Northtowne will ask owner for the access code

  • Bldg D – key for entry repaired

New Business:

  • Parking - if posting parking rules, W would like some rules highlighted

    • Ex 1 free night each calendar month per visitor

    • Each owner/tenant with an overnight guest should email the gmail acct/W to register their vehicle & plate

  • Electric Cars - question asked about electric cars & current power system limitations/ not equipped to handle electronic vehicle charging – W is going to look into electronic vehicles and parking/charging station requirements

  • Parking lot plugs – recommended looking into timer/timer system for outside plugs – M is going to look into a cycled power system

  • Entryway boot scrapers ($30/ea) proposed adding to each entrance with trays

    • Motion to approve purchase & install:

    • 1st L/2nd M

  • Hallway carpets need to be cleaned/shampooed – check with A if this is a service that she provides – G will check with A

  • G inquired if any site issues/complaints with rodents – none at this time

  • Duct Cleaning services offered a group discount via B_ – owners can contact her directly if interested /owner’s must pay – SR can help create a promotional poster & G will send to all owner who can email B_ if interested
